MEETING MINUTES

1.

Sea Base: Pam is going to be at the Tuesday meeting tomorrow to see what interest for summer camp (sea base). Although the registration is not available as of yet, anticipated cost for this activity is as much as $ 650 per person.  Also, we need to set the place for our "regular" summer camp as well.  El Rancho Cima was suggested.  Can Pam arrange this as well?

2.

Xmas Party: Ricardo is doing sign-up for dessert/drinks for Xmas party & Randy is pizza after talking to Robert Jenkins, Regan is doing plates/cups/napkins

3.

Troop Tents: The committee talked about troop tents. Not sure what was agreed on for tents. Randy F. mentioned that Academy had some sort of program that you can sign up for to get discounts on tents and other camping items.  Regan A. was going to check into that and let everyone know.  Mike W. mentioned that we will probably need new tents by the January campout so we need to make a decision soon.  Randy F. didn't know an exact bank balance since he doesn't know the amount we will owe to SHAC for re-charter yet.

Pedro Campout: They agreed Pedro campout needs to change to nearer location – either Huntsville or Stephen F Austin – not sure who was getting with Cindy for that ????? 

5.

Texas State Park Pass: We also agreed to renew the TS Park Pass.  This will be done at the January campout so we can maximize the amount of time we can use the pass.  (It is good 1 year from the date of purchase)

6.

Campouts: Scoutmasters are deciding on siblings/families at campouts.  This may just be an isolated circumstance and can be handled by talking to the parties involved.

7.

Applebee's:   fliers to pass out to the neighborhood (from Kevin B.?) & sign-ups need to be done right away. 

8.

Fundraising:   Need to find out if any progress on spring bulb fundraiser & YMCA options.  Randy F. mentioned having a portion of the profits from each fundraising event go to the boys as well as the troop.  This is a good idea for most of our fundraisers, but Applebee’s could be difficult since there isn't a lot of profit for the hours put in selling tickets and working the restaurant. 

9.

First Aid Kits: Checking the medicine kits also was mentioned.  Mike W. and Robert S. are going to see if SHAC has any regulations as to what needs to be included and what needs to be excluded from the first aid kits.

10.

Eagle BOR: Kody’s BOR is later this month

11.

Alaska Trip: Robert talked about Alaska, sounds cool. Fly there, activities to include salmon fishing, hiking, camping, boating, etc.  He has a friend that lives in Alaska that has offered his land and some equipment for our use.  This would be only for boys 14 and over as of May/June 2012.

12.

Enchanted Rock: Sign-up for Enchanted Rock needed at tomorrows meeting.  Robert S. was going to get the details on a repelling guide.  Cost is $ 350 for 15 scouts, which is a minimum.  We can add more scouts but we need to arrange that before we go.  Approval was given to proceed with this activity.  The cost per scout will be $ 30 and may be an additional $ 5 if Enchanted Rock charges extra.

13.

Campout activities: looking at a backpacking campout (Brazos Bend was mentioned).  We will need to have a base camp for those not doing the backpacking activity.  For those not going backpacking, we could include the 5 mile hike as a requirement for rank.  We need to make sure we have lots of adults on this campout for the two camping locations.  Also mentioned was the expense of getting a backpack for those who don't have them.  We need to ask others in the troop if they have extra equipment that can be shared and also Pam mentioned that REI will rent backpacks. 

14.

Scout Dues: Randy has dues going to $6 at 1 st meeting of the month – handed in to scribe who then reports to him. This will save a lot of time at the other meetings in the month by not having to do this at every meeting.

15.

Troop Quartermaster: They want to have a troop quartermaster that the patrol quartermasters report to.  The Troop Quartermaster will then report to the adult quartermasters when items are needed or need repairing.

16.

Troop Equipment: Equipment is fine apart from tents, should be OK for winter camp (would suggest bringing waterproofing spray & duct tape)

17.

Misc.: Should be lots of announcements & sign-ups tomorrow – Xmas party, Enchanted Rock & Sea Base
